03
Why we process it
- Processing quotation requests
- Recording your request, allocating a reference number, and carrying out technical review of the specification.
- Preparing and issuing quotations
- Costing the specification, preparing the written quotation, issuing revised versions, and recording acceptance.
- Communication
- Contacting you for clarification, sending the quotation link, and answering enquiries you send.
- Order processing
- Handling an accepted quotation, the purchase order raised against it, production scheduling, and delivery or pickup arrangements.
- Recordkeeping
- Keeping accurate business records of quotations, orders and transactions, including records we are required to retain for accounting, tax and other legal obligations.
- Security and integrity
- Protecting the website and its records against unauthorised access, misuse, and loss.
Depending on the situation, processing is based on your consent, on steps taken at your request before entering a contract, on the performance of a contract, on our legitimate interests in operating and protecting the business, or on a legal obligation. Where processing depends on consent, you may withdraw it, and doing so does not affect processing already carried out.
04

- We do not build advertising profiles.

05
Authorised service providers
Running the website requires a small number of service providers, described here by the role they perform rather than as endorsements. Each is engaged to process information only on our instruction, for the purpose stated, and under confidentiality and security obligations.
- Website hosting
- Serves the pages and the application, and keeps operational logs needed to run and secure the service.
- Database and file storage
- Stores request records, quotations and the files you upload. Uploaded files are held in private storage and are reachable only through short-lived, access-controlled links.
- Transactional email delivery
- Delivers messages such as acknowledgements, clarification requests and quotation links to the address you provide. These providers do not use your address for their own marketing.
Some providers may process or store information outside the Philippines. Where that happens, we remain accountable for the information and require protection consistent with this notice. Information may also be disclosed to professional advisers, or to a competent authority, where we are legally required to do so.
06
How long we keep information
Information is kept only as long as there is a purpose for it, and then disposed of securely.
- Requests that do not proceed
- Retained for a reasonable period so the specification can be revived if you return, and so we can show how an enquiry was handled.
- Quotations, orders and transaction records
- Retained for the period required by accounting, tax and other applicable legal obligations, and for the period a claim relating to the transaction could still be made.
- Uploaded files
- Retained while they are needed for the quotation or the order they belong to, and for any subsequent repeat order based on the same specification.
Specific retention periods are set as part of the company records policy and are confirmed by the company on request. Where you ask for information to be deleted, we will do so unless we are required or entitled to keep it, and we will tell you which applies.
